How It Works
All students and clinical student group instructors are required to obtain an ID badge. Until you have your hospital-issued ID badge, you are required to wear your school-issued ID badge. ID badges will not be issued until all Mandatory Onboarding Documentation and Training has been verified as completed by the Clinical Student Placement Office.
Students and Clinical Instructors must complete the SurveyGizmo fourteen (14) days prior to their start date. This allows the Clinical Student Placement Office time to release student names to Security, making the student/clinical instructor eligible for an ID badge.
Getting your badge
You must present a valid piece of government ID to Security when obtaining your ID badge.
SHN ID badges are processed by the Security Office at each hospital. The access card will be blank (students must also wear their school-issued student ID at all times).
There is a $10 non-refundable fee for the card. The fee can be paid at the Security office by debit only. Cash will not be accepted.
You can get your ID badges processed at each respective hospital as follows:
- Birchmount
Location: Level 1 – Finance/Security Office – Room #1711

Security will set the deactivation date of the card to coincide with the last day of your placement.
If you lose your ID badge, please notify Security ASAP.
Security officers patrol the facility, and closed-circuit cameras are located in all public areas. Security escorts to your vehicle are available upon request. Please be advised that other calls may take priority, and you may be required to wait until an officer is available.
Valuables and large amounts of cash should not be brought to placement. Offices and vehicles should never be left unlocked, and valuable items should be kept secured/out of view.
If you notice anyone acting in a suspicious manner, or appears to be out of place, please report it to your Security office at your site.
On-site parking fees for students and instructors is $46 for 30 days.
The students and instructors will be able to purchase parking at either campus from the parking office. The parking offices are located as follows:
- Birchmount – Main floor, opposite the drug store
- General – Ground Level of the Parking Garage
- Centenary – To pay for your parking pass, you will need to go to the Cashier’s Office on Level 2, near LaPrep; once you have paid for the pass, you may proceed to the Security Office Level 1, Margaret Birch Wing entrance
Lockers are assigned to Clinical Student Groups only. Preceptored students must arrange with departments to stow items.
Clinical Instructors are responsible for obtaining lockers for their groups for the semester by contacting:
- Birchmount – Security Office, Level 1, Room #1711
- General – Security Office, Ground Floor, Crockford Wing, across from Gain Clinic
- Centenary – Human Resources, Level 1, below main entrance
Clinical Instructors will have locker access on ID/Access card and will be responsible to open locker rooms for student use.
Locker assignment
Three female lockers and one male locker shall be assigned for each group, based on availability. Locker numbers will be assigned by the Security Office.
- Birchmount: Located on the 1st level, across from Health Records
- General: Located on ground floor, North wing, across from the Breathing Centre
- Centenary: Located on the 1st floor of the Margaret Birch Wing – Rm. 1200
Obtaining Computer & Meditech Access
As a student at SHN, you will require a Meditech username and password in order to use the electronic health record and/or document electronically. Before a password can be assigned, all mandatory onboarding documentation must be received through the SurveyGizmo survey application.
Please note: it may take up to two (2) weeks from your SurveyGizmo submission for passwords to be assigned. Please make every effort to submit your documentation at least fourteen (14) days before your placement start date.
Meditech Access Information
Access to Meditech is now harmonized across all three (3) hospitals.
- Ensure both you and your students have completed SurveyGizmo, fourteen (14) days prior to start of the placement.
- Once the Clinical Student Placement Office has verified that each student and group instructor has completed their mandatory onboarding, names will be forwarded to IT and Security.Once IT has received your name and school-issued email address, they will work to create your access credentials. Due to the high volume of students per term, this can take an additional one-to-two weeks. Once created, an email will be sent to your school-issued email with a secure link to retrieve your password. If you do not receive your password by the start of your third week of placement, please email clinstudentplacements@rougevalley.ca.

- Once all information has been validated, an email will be sent to your school-issued email with a secure link to retrieve your password. Due to the high volume of students, this may take up to two weeks to arrive in your email.
